Events are the best way to meet your prospects, clients, suppliers, and create the best opportunities.

However, nowadays it is important and beneficial to reflect your CSR policy during these events.

But how to organize eco-friendly events?

First of all, let’s consider organizing an event:

Location:

Indeed, the choice of the venue is crucial and is the first point of consideration.

The location of the venue has a direct and obvious impact on the travel of your guests. Choosing a venue close to the majority of participants can easily reduce the environmental impact of travel. Also consider proximity by using public transport or park-and-ride facilities on the outskirts of cities. You can also facilitate carpooling among participants by offering a connection service.

An engaged venue

Eco-construction, renewable energy, waste sorting… some sites are already committed to an environmental approach. Ideal for an eco-friendly event. Local suppliers and responsible purchasing, use of products with an ecological label, non-use of synthetic chemicals in green spaces… The possibilities are numerous and concrete. Ask the question. If no environmental approach is in place, it is very likely that you can influence certain points for your event such as banning disposable dishes, or purchasing eco-friendly soap.

And even if the answer to these questions turns out to be negative, you will have nonetheless contributed to raising awareness in your interlocutor through your request. Their offer and practices could evolve in the future thanks to you.

Another important point, during your event you will likely offer coffee, appetizers, cakes or others; you are obliged to use alternatives to classic cardboard dishes.

A solution could be reusable cups, bound to your image. You can reuse them at each of your events, and offer them to your colleagues daily within your organization.

As for the content of the plates, take the time to compare the equivalent quality with organic products for example. You will likely be surprised at the low, if not nonexistent, cost differential.

If your event requires a meal, consider local, seasonal, or organic farming.

Now that we have seen the eco-friendly measures for the event itself; organizing an eco-friendly event requires thinking about the most appropriate ways to communicate, always aiming to generate the lowest environmental impact. If you need to print documents, think recycled paper, double-sided printing, and the use of vegetable ink. Also limit your email sending and attachment sizes. We often forget, but emails are a very significant source of pollution worldwide!

You can take advantage of the communication upstream of the event to explain your approach to the participants and give them some ideas on how to participate. For example, if your event takes place in an easily accessible location, you can suggest they come by public transport, bike, or carpooling.
